How to use HERMES in the Field, Institutes and Centres*

HERMES is a tool for those who publish documents or publications of a public nature to be transferred into UNESDOC

HERMES accepts primarily one-page PDF files of up to 2 gigabytes (a two-page spread will not be accepted except for the cover page).

1. How to access HERMES?

Using Internet Explorer 6+ or Firefox 1.5+, open the following url http://intranet.unesco.org/

* on the left-hand menu, click on UNESDOC/UNESBIB unesdoc/unesbib

* You are in UNESDOC

*on the right-hand menu, click on HERMES hermes

*You are now in HERMES

2. About document codes / ISBNs / ISSNs

The coding of documents and UNESCO policy directives regarding publications are defined in the UNESCO Manual.

According to document category:

  1. Enter the document code if you send a document of a public nature
  2. Enter the ISSN (International Standard Serial Number) if you send a periodical;
  3. Enter the ISBN (International Standard Book Number) if you send a book;

a. Document codes

Each document must have a code
Although HERMES generates document codes automatically, we recommend that each Field Office /Institute/Centre manages its own list of document codes.
Document codes must appear on the PDF; depending on the layout, it should be in the 6 first or 6 last pages of the document.

Each code should consit of the following elements:

  • 2-letter ISO country code
  • year of publication
  • the abbreviation of your domain of activity;  
  • the abbreviation of the document type*
  • a sequential number
  • BR/
  • BR/2004/
  • BR/2004/SS/
  • BR/2004/SS/PI
  • BR/2004/SS/PI/32

3. What to check before sending a PDF?
A PDF file is a finalized document with a beginning, an end, a title, a publication date, a reference.

Your PDF file must contain :

  • The UNESCO logo => see UNESCO Logo Toolkit
  • A reference ( code, ISBN or ISSN)
  • A publication year
  • The language of the original (if applicable)
  • A title

4. Transfer - main rules:
For security reasons, please, use only Internet Explorer 6+ or Firefox 1.5+

If you send:

  • a document of a public nature: enter the document code (see point a.)


  • a book : enter the ISBN (see point b.)


  • a periodical :enter the ISSN (see point c.)

a) Enter the document code (or ISBN, ISSN) and language (see the list of available languages)

c) Select on your hard disk the PDF file to transfer

d) Within a few hours, your document will be accessible through UNESDOC. You will receive an e-mail notifying you of its URL.

 

N.B. In addition to the electronic transmission of documents, Field Offices, Institutes and Centres are still required to send two paper copies of all new publications and one paper copy of all new documents, in all languages of issue, to the UNESCO Library (ADM/DIT/LIB) and one paper copy of each mentioned category to the UNESCO Archives. This is necessary for indexing and preservation purposes.

Titles published by UNESCO-sponsored Institutes or with the assistance (financial or other) of UNESCO. The mentioning of UNESCO's support as well as the UNESCO logo should be clearly indicated on the publication.
